In Cohort Edit Window

As mentioned in Core Concepts, creating an in cohort is the only way to get cattle into the system and we recommend always creating an in cohort on the same day the cattle actually arrived. It is also important to assign a lot to the cattle as quickly as possible. This window can be used to create in cohorts in the office. At chuteside we recommend using the Simple New In Cohort window and then adding additional information with this window in the office.

The Location and Initial Pen fields cannot be changed later on. If you have made a mistake with these fields you will have to delete the in cohort and create another one.

Cohort Info

  • Identifier. This field can be used to identify the in cohort later on. By default, Fusion defaults to a date/time combination to uniquely identify the cohort, but you can change it to whatever makes sense for your operation.
  • Location. Enter the location the cattle have arrived at. Fusion expects them to stay in this location the entire time they are in the feedlot (unless you use an out cohort and another in cohort to transfer them).
  • Initial Pen. Enter the pen the cattle were first put into. This is often a receiving pen.
  • Lot. Enter the lot these cattle will be going into. You can leave this field blank, but you can't move the cattle from the initial pen to another pen until they have been assigned a lot. Fusion expects that this will happen within the first few days.
  • Linked Animals. Most people wait until animals are inducted before worrying about the individual animals in a lot. However, if you are set up for it you can link animals to an in cohort with this button which works under the same principles as explained in the Entity Chooser topic. If you link an animal (RFID tag) that doesn't already exist in Fusion, an animal record will be created for it.

Contacts

  • Buyer. Enter the name of the buyer for these cattle.
  • Source. Enter the source for these cattle.
  • Originating Herd. Enter the name of the place where these cattle where born.
  • Trucking. Enter the name of the trucking company that brought this load of cattle in.

Extra Info

  • Invoice Date. Enter the date of the invoice for these cattle.
  • Invoice Number. Enter the invoice number for these cattle.
  • Paid. You can use this field to keep track of whether an invoice has been paid yet.
  • Manifest Number. You can enter a manifest or shipping related number here.
  • Brand Release. You can the brand release information here.

In Weight (Total For Cohort)

  • Gross. Enter the gross weight of the load.
  • Shrinkage. Enter the shrinkage for the load.
  • Net. Enter the net weight of the load.
  • Pay Weight. Some people use the gross weight as the pay weight while others use the net weight. Choose whichever method makes sense for this load so Fusion uses the correct weight as the pay weight elsewhere.
  • Weights are accurate. Sometimes the exact weights may not be known when an in cohort is first created. In that case, the weight should be estimated as closely as possible. Leaving this field unchecked serves as a reminder that the exact weights still need to be entered. You can search for these in cohorts and they will also show up in red in the Lot Edit window. Check this field once the correct weights have been entered.

If you know two of the three Gross, Shrinkage, and Net values, you can click the Calculate… button next to the field you don't know and Fusion will figure out the correct value for the field.

If you change an in cohort's weight by a very large value after it was initially saved, realize that Fusion does not automatically update the pen weights were the animals from the in cohort currently are. If that is necessary, use go to Fusion Core → Events → Change Pen Weight to update the pen weight for these animals. If you need to change the historical weight of the pen between the time the in cohort was first created and now, use the Pen's Lot List window.

In Info

  • In Date. This will be today's date. While you can enter a date other than today if you need to, we strongly encourage you to create cohorts on the day they actually arrive whenever possible. If you create a cohort for several days ago, their weights will be the same from their arrival date until now.
  • In Time. Fusion will, by default, set this field to the current time, but you can change it if you like.
  • In Count. Enter the number of animals in the in cohort here.
  • In Dollars. Enter the invoice amount that needs to be paid for these animals here.
  • Dollars are accurate. Similar to the Weights are accurate field, use this field to let yourself know if the dollar figure has been checked and is correct.

Note

You can enter a note about this in cohort if you like.

Saving Changes

Click the Save button when you are finished making changes. If you change your mind, click the Cancel button instead.

Handling Major Edits

If you change the Lot, In Date, or In Count, Fusion will need some extra information from you before it can save the changes. The following is also true if you delete an in cohort. The problem is that Fusion doesn't keep track of where animals from an in cohort get moved to. If it is later in the day, or even a few days later, when you change the in count or delete an in cohort, it doesn't know if you have moved some or all of the animals to different pens. But it needs to add or delete animals from different pens to satisfy the in count change (or deletion), so you need to tell it where the animals are at.

After you click the Save button (or delete an in cohort), a window will appear with some instructions. On the left hand side is a list of dates that will be affected by this change. Hopefully you have caught the error early and you only have one or two dates to deal with. For each date, you must select it and then make sure the pen counts on the right side are correct.

The right side will list the pens Fusion thinks might be possibly involved on the selected date. The Count On Date column shows the the number of animals Fusion thinks are in the pen on that date. The Change By shows how Fusion would like to change the count of each pen to satisfy the changes you are making. For example, if an in cohort originally was created with 100 animals and you later changed it to 110 animal, Fusion needs to add 10 animals somewhere so the Change By value would be 10 for one of the pens.

Fusion does its best to guess how many animals to add or remove from each pen so often all you need to do is check that Fusion is doing the right thing for each date and then click OK. If you do need to make changes, Double-Click a value in the Change By column to make changes. If you need to add animals to a pen that isn't listed on a day, click the + button and choose a pen to add to the list.

There will be a message below the list indicating whether you need to add or subtract more animals for a date, or if all is good. This helps make sure you have the right numbers entered. Also, if a date isn't good yet, it will show up in red in the list.

When you are finished, click the OK button and Fusion will add or remove the appropriate count of animals from for each date and for each pen with a non-zero Change By value while saving the in cohort. If you want to back out, click the Cancel button.

When you save (or delete) a cohort after making a major edit, Fusion tries to figure out the best default changes to make for each day before showing you this window. If you try this on a cohort that is more than several days old, it may take quite a bit of time to even display this window!
