Guide to Recording Received Cattle in the Office

This video shows how record received cattle in Fusion in the office. It also explains how to complete yard-entered in cohorts.

An "in cohort" refers to a group of animals that arrive at your yard on the same day and are placed in the same pen and lot. If a truck load is being divided, you need to create separate in cohorts for each group. It's important to create in cohorts on the same day the animals arrive so that they can be fed. Typically, the yard crew creates a basic in cohort initially, and later you can edit it by adding the rest of the information. Alternatively, you can also create a completely new in cohort from the office if you prefer.

Let's go through the process of editing an in cohort created by the yard crew. To access the list of in cohorts, make sure you have the Fusion Core menu bar active and then select "List In Cohorts" from the Cohorts menu. From there, you can find the specific in cohort you want to edit and double-click on it. You have various search options, but in this example, let's assume the in cohort was recently created. We'll sort the In Date column in reverse order, so the most recent items appear at the top, and then edit the most recent one.

As you can see, some fields have already been filled in by the yard crew. With the exception of the fields labeled in red, you can modify what they entered and add information to the other fields. In this case, the yard crew already knew the lot where the animals were supposed to go, but if they didn't, you would have entered that information yourself.

To enter a buyer or other contacts, simply start typing their name until it appears. You can also click on the purple contact card to the right of the field to search for a contact. Alternatively, right-clicking the contact card allows you to create a contact on the spot, making it available for entry.

The Extra Info section can be utilized once the cattle have been paid for, along with a couple of additional fields for tracking information.

The yard crew will have entered a weight value, but it may not be entirely accurate. They are encouraged to provide their best estimate when the exact weight is not available, so that Fusion has enough information to perform feeding and growth-related calculations right away. Once you've entered the correct values, you can mark the "Weights are accurate" checkbox. By the way, make sure to set the Pay Weight to either the Gross or Net weight, depending on your yard's preference.

The next section is where you can enter the dollar amount and check it off when it's accurate.

Please note that changing the lot, in date, or in count requires additional information from you and is covered in another video. It's best to ensure that this information is entered correctly from the beginning.

Click on Save when you've finished inputting your information.

Now let's briefly discuss how to create an in cohort from scratch in the office. With the In Cohorts list window open, you can click the New button, or alternatively, choose "New In Cohort" from the Cohorts menu.

The same window will open, and Fusion will automatically assign an identifier to the cohort based on the date. You only need to change this if your yard has its own system for identifying cohorts. The default location will also be set, but you can modify it as well.

In this case, let's place these animals in the second receiving pen and lot L107. We'll skip over the other information since we described it earlier in this video. You can enter it if you have the details or leave it for later entry. However, it's crucial to at least enter the total pay weight and the in count.

While it is technically possible to backdate an in cohort as you create it, we strongly recommend creating cohorts on the same day the cattle arrive. This will ensure a much smoother experience in Fusion.

Take a moment to verify the accuracy of the information, and then click the Save button. These animals are now in the system, and the feed trucks will become aware of them after their next full sync.
